All the customers are suggested that they read and acknowledge all the terms and conditions set out by New Era Holidays Treks and Expedition Pvt. Ltd. before they book any packages with us  as it lays the foundation of our relationship in a legal way going forward and is also a legally binding contract that helps both parties avoid unnecessary hassles in the future. It basically contains all the information regarding Booking Confirmation, Payment and Refund System, Cancellation Fees, etc. set per our policy.

The details of our Terms and Conditions are listed below:

 

Trip Confirnmation and Deposit Requirements

To make your trip confirmation we will send out the Booking Application Form that you need to fill and send back to us with the required advance deposit, which is usually 30% of the total trip cost (which can be higher in some cases) along with the photocopy of  all the passports of the visiting team members and their 2 passport size photos. Your signing of the Form legally implies your acceptance of our Terms and Conditions. The rest of the balance due should be paid right before you depart for the trip after arriving in Nepal.

Payment can be made either via Bank transfer or sent through the agents like Western Union. It should be noted that bank charge for bank transfer should be the responsibility of the customers themselves.

2. Cancellation Policy

A notice of cancellation should be submitted by  the client in written form by mail with authentic reason(s) for cancellation process to be implemented.

 

Cancellation rule for trekking/hiking/tour Etc.

-If cancellation is made 30 days before the trip departure date, 15% of the total trip cost will be charged as cancellation and the rest will be adjusted in their next trip or refunded after deducting the processing charge of making a draft through NRB.

-If cancellation is made  15 days before the trip departure date, 25% of the total trip cost will be charged as cancellation, and the rest is the same as above.

-If cancellation is made 07 days before the trip departure date, 40% of the total trip cost will be charged as cancellation.

-If cancellation is made within the week of departure or upon arrival in Kathmandu, no refund shall be provided. Due payment should be made or claimed by legal process.

 

Cancellation rule for Air ticket purchase

-If cancellation is made  30 days before the ticket departure date, 15% of the total face value will be charged as cancellation and rest will be adjusted in their next trip or refunded after deducting the processing charge of making a draft through NRB.

-If cancellation is made  15 days before the ticket departure date, 25% of the total face value will be charged as cancellation, and the rest will be same as above.

-If cancellation is made  07 days before the trip departure date, 50% of the total face value will be charged as cancellation.

-If cancellation is made within the week of departure or upon arrival in Kathmandu, no refund shall be provided. Due payment should be made or claimed by legal process.

-No refund will be made to clients who drop out from the journey regardless of whatever portions remain unused in the itinerary.

 

 

Risk & Liabilities

We are committed to providing you with the best service that we can provide and will do everything within our capability to make sure that the time that you spend here with us is pleasant and without any hiccups. However it must be duly noted that unavoidable circumstances such as landslides, floods, earthquakes, and other natural calamities along with political unrest, road blockages, flight cancellations and delays, or other mishaps can thwart the best of intentions and hence New Era Holidays Treks and Expeditions Pvt. Ltd. will not take any responsibility for changes and alterations in the itinerary due to the above factors.

Morever, New Era Holidays Treks and Expeditions Pvt. Ltd. while undertaking tours, transportation, hotel accommodation and other services only acts as an agent on the clear understanding that it shall not be, in any way, responsible or liable for any accident, damages, loss, delay, international flight cancellation/delays, or inconvenience caused in connection with the travel facilities arranged by the company, its employees or agents. We try to book and execute all tours with the most honest intention and with utmost care , yet we do not take any responsibility for any change or deviation in the trip because of factors beyond our control.

In extreme cases where we are simply unable to go forward with the tour due to unforseen circumstances, we are glad to refer you to a different travel company for an alternative tour of a similar quality. However if  you show disinterest, we can fully refund you the amount of the package  that you have paid. But any other expenses incurred by you because of this booking are entirely your responsibility.

 

Assumption of Risk

The customer should be aware of the fact that there is a certain amount risk or danger involved in the trip including but not limited to accidents or illness due to lack of proper euipments or medical care, the hazards of travelling in a mountainous terrain, and/or other forces of nature. And it should be duly noted that our company and its employees, and our agents or other members of the tour cannot be held liable should death, personal injury, or other illnesses occur or the customer is forced to sustain loss or damages to their properties.

 

Travel Insurance

It is mandatory that the customers take out an insurance coverage to cover accidents and health scares, cancellations, emergency evacuations, loss of items and/or theft and damages to their belongings.

In case of emergency evacuation, all costs accrued should be paid in cash in Nepal unless an insurance company vouch on your behalf.

 

Privacy/ Publicity

We reserve the right to use any images (photographs) of you taken during the trip for publicity and promotion purposes without any compensation to you or without your written consent.

We would also like to assure you that any personal or private information of yours that we obtain for the purpose of obtaining permits, etc. would not be disclosed to any other parties for any purpose.

 

Amendment to Pricing/ Cost

We also reserve the right to revise prices of the packages posted on our website due to unforseen circumstances/ external factors such as change in exchange rates and/or  government actions, etc.

 

Unlawful Acts

A representative of our company will always accompany you during the trip and he has the full authority to make important decisions on our behalf. In case it is found that some unlawful acts has been commited by the customer, the representative has full authority and backing of the company to expel you from the trip. In such cases, no refunds will be made.

 

Complaints

If you have any complaint/s about the trip/tour, you must inform the tour leader or guide at the earliest so that corrective measures can be implemented at once.

 

And Finally,

We are here to serve you and serve you in such a way as to make your trip enjoyable and worthwhile so that you would want to come back and visit us again. However it should be kept in mind that we might not always be able to meet the quality of services or amenities and privileges you are accustomed to in your country due to cultural differences and/or the fact that  we are still a developing country. In such cases, we sincerely request that you overlook these aberrations and not let them affect your level of enthusiasm and patience.
